1. Who we are.
This service ("Australian Veteran", "the tool", "we", "us", "our") is operated by March Ahead Pty Ltd (ABN 67 678 706 459), trading as March Ahead, based in Queensland, Australia. We are committed to protecting your privacy and handling your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
2. What this policy covers.
How we collect, use, store, disclose, and protect your personal information when you use this tool, and the choices and rights you have. It applies to veterans, advocates, and organisation team members who use the service.
3. The information we collect.
Account information (name, email, login); documents you choose to upload (which may contain sensitive information, including health and mental-health information); information you enter (answers, notes, claim details); and basic technical and usage data needed to run and secure the service. You can browse the free public guidance without an account, in which case we do not save your information. Cookies. We use only necessary cookies and technical information needed to keep the service working and secure. If we introduce analytics or optional cookies, we will update this policy and, where required, ask for your choice.
4. Sensitive information and your consent.
Health and mental-health information is "sensitive information" under the Privacy Act. We only collect it with your consent, which is why, before you upload documents, we ask you to explicitly agree that your documents may contain sensitive health information and that the tool may process a privacy-scrubbed copy to prepare your summaries. You can withdraw this consent at any time.
5. How we use your information.
To provide the tool's guidance and document-summary features; to maintain your account; to keep the service secure; to respond to your requests and support enquiries; and to meet our legal obligations. We do not use your uploaded documents or personal information to train AI models.
6. How AI is used.
The system is designed to remove names and common personal identifiers before the text is sent to an AI service to prepare your summaries; a privacy-scrubbed copy is used, not the raw document. Depending on the AI service used, a privacy-scrubbed copy of your document text may be processed outside Australia. We only use AI services where we have assessed privacy, security, and contractual controls. We do not use your uploaded documents or personal information to train AI models.
7. Who can access your information.
Your documents are kept in your account. Only you can use them unless you choose to give access to an advocate or another authorised person, through a permissioned relationship. We do not sell your personal information. Authorised members of our team may access information only where genuinely needed, to provide support you have asked for, fix a technical problem, protect the security of the service, respond to your request, or meet a legal or security obligation, and such access is limited and recorded.
8. Storage and security.
Your information is stored in Australian-hosted infrastructure (Microsoft Azure, Australia region) and encrypted. We take reasonable steps to protect it from misuse, loss, and unauthorised access. No online service can promise absolute security, but we work to protect your information and to meet our obligations under the Notifiable Data Breaches scheme if a serious data breach ever occurs.
9. How long we keep it.
We keep your information while you use the service and for up to 30 days after your access ends, unless you ask us to delete it sooner, or unless we are required to keep limited records for legal, security, audit, or dispute-resolution reasons.
10. Your rights and choices.
You can access, correct, delete, or export your information, or withdraw a consent, using the controls in your account or by contacting us. We will respond in line with the Privacy Act.
11. Complaints.
If you have a privacy concern, contact us at support@australianveteran.com.au. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
12. Changes to this policy.
We may update this policy. If we make a material change, we will let you know and, where appropriate, ask you to review it again.
